Terms of Conditions

Terms and Conditions 🏂

These Terms of Service apply to the ski and snowboard lessons and related services provided by SnowJourney Japan (the “School”), operated by SnowJourneyJapan LLC (the “Company”).

Before making a reservation, customers must carefully review these Terms of Service and the School’s Privacy Policy.

By submitting a reservation, the person making the reservation and all participants included in that reservation will be deemed to have agreed to these Terms of Service, regardless of whether they have actually read them.

Article 1: Reservation Applications

The person making the reservation must provide accurate information requested by the School, including their name, contact information, number of participants, ages, ability levels, and health conditions.

The person making the reservation must explain these Terms of Service to all other participants included in the reservation and obtain their agreement before submitting the reservation.

The School may refuse a reservation or participation in a lesson if the information provided is false or inaccurate, or if important information has not been disclosed.

Article 2: Confirmation of Reservations

A reservation will be confirmed after both of the following conditions have been met:

  • The School has reviewed and accepted the reservation details.
  • The School has confirmed receipt of the lesson fee.

Submitting a reservation form alone does not confirm the reservation.

A reservation becomes officially confirmed when the School sends a booking confirmation by email, LINE, or another communication method designated by the School.

Article 3: Fees

The lesson fee displayed on the website, reservation form, or booking confirmation at the time of reservation will apply.

Unless otherwise stated, lesson fees do not include:

  • Lift tickets
  • Ski or snowboard equipment rental
  • Ski or snowboard clothing and accessory rental
  • Transportation or shuttle fees
  • Food and beverages
  • Accommodation
  • Accident or travel insurance
  • Other personal expenses

Article 4: Payment

Lesson fees must be paid by the deadline specified by the School using a credit card or another payment method designated by the School.

Any bank transfer fees must be paid by the customer.

The School may cancel a reservation if payment cannot be confirmed by the specified deadline.

Credit card information is processed through the systems of a third-party payment service provider. As a general rule, the School does not directly obtain or store customers’ credit card numbers.

Article 5: Changes to Reservations

Customers who wish to change the reservation date, lesson duration, number of participants, lesson location, or course must contact the School as soon as possible.

Requested changes may not be possible due to instructor availability, ski resort operations, or other circumstances.

If a requested change results in a higher fee, the customer must pay the difference.

If the requested change cannot be accommodated and the customer cancels the reservation, the cancellation policy set out in Article 6 will apply.

Article 6: Cancellations by the Customer

For the purpose of calculating cancellation fees, the day before the scheduled lesson will be counted as “one day before.” All dates and times will be based on Japan Standard Time.

The following cancellation fees will apply.

Cancellations made at least three days before the lesson

Cancellation fee: None

The amount paid will be refunded after deducting payment-processing fees, bank transfer fees, and any actual costs incurred in processing the refund.

Cancellations made two days before or one day before the lesson

Cancellation fee: 50% of the lesson fee

An amount equal to 50% of the lesson fee will be refunded after deducting payment-processing fees, bank transfer fees, and any actual costs incurred in processing the refund.

Cancellations made on the day of the lesson

Cancellation fee: 100% of the lesson fee

No refund will be provided.

The time at which the School receives the cancellation notice will be used to determine the applicable cancellation fee.

For multi-day reservations, cancellation fees will generally be calculated separately based on the scheduled date of each lesson.

Article 7: Absence and Late Arrival

The following circumstances will be treated as a same-day cancellation, and no refund will be provided:

  • The participant does not arrive at the meeting place by the scheduled time without prior notice.
  • The participant cannot attend the lesson due to personal circumstances.
  • The participant has not prepared the required lift ticket, clothing, or equipment.
  • The participant goes to the wrong ski resort or meeting place.

If a participant arrives late, the lesson will generally end at the originally scheduled time. The lesson will not be extended, and no refund will be provided for the missed time.

If the participant is significantly late, the School may be unable to conduct the lesson for safety or operational reasons. In such cases, the reservation will also be treated as a same-day cancellation.

Article 8: Weather and Ski Resort Conditions

If a customer cancels solely because of snowfall, rain, wind, fog, low temperatures, or other unfavourable weather conditions, the cancellation will be treated as a cancellation for personal reasons under Article 6.

If the School determines that the lesson can be conducted safely, customers may not cancel free of charge because of the weather or snow conditions.

The School may cancel the lesson, change its time or location, or offer an alternative lesson if it determines that the lesson would be difficult or unsafe due to any of the following:

  • Complete closure of the ski resort
  • Complete or prolonged suspension of lift operations
  • Blizzards, avalanches, or other dangerous weather or mountain conditions
  • Earthquakes, fires, or other disasters
  • A cancellation request or instruction issued by a government authority or ski resort
  • Any other circumstances that the School determines would make it difficult to conduct the lesson safely

If the School cancels a lesson and cannot offer a rescheduled or alternative lesson, the fee for the cancelled lesson will be refunded.

However, the School will not reimburse transportation costs, accommodation expenses, airfare, lift-ticket fees, rental fees, or any other incidental expenses.

Article 9: Suspension of Public Transportation

If officially announced public transportation suspensions prevent the customer from reaching the lesson location, even after considering reasonable alternative transportation, the School will consider rescheduling or providing a refund on a case-by-case basis.

The customer may be required to provide documentation or other evidence confirming the suspension.

Delays, missed trains or buses, incorrect routes, traffic congestion, or other circumstances attributable to the customer will be treated as cancellations for personal reasons.

Article 10: Changes or Cancellations by the School

The School may change the lesson content, instructor, scheduled time, or location due to any of the following circumstances:

  • Instructor illness or injury
  • Weather or snow conditions
  • Ski resort or lift operating conditions
  • Transportation disruptions
  • Disasters or other events beyond the School’s reasonable control
  • Unavoidable safety or operational circumstances

If the School cancels a lesson and cannot provide a replacement instructor, a rescheduled date, or an alternative lesson, the fee for the affected lesson will be refunded.

Article 11: Safety and Accidents

Skiing and snowboarding involve inherent risks, including falls, collisions, injuries, avalanches, equipment failure, and sudden changes in weather conditions.

Participants acknowledge and understand these risks and participate at their own responsibility.

The School will take reasonable precautions to conduct lessons safely. If an accident or injury occurs, the School will provide first aid, request emergency assistance, and contact the appropriate emergency contact to the extent reasonably possible.

Any liability of the School for loss or damage arising from circumstances attributable to the School will be determined in accordance with applicable law.

Nothing in these Terms of Service excludes or limits the School’s liability beyond what is permitted by applicable law.

Article 12: Insurance

Participants are requested to obtain accident or travel insurance in advance that covers skiing and snowboarding accidents, injuries, rescue expenses, and liability for injury or damage caused to third parties.

Customers travelling from outside Japan are strongly advised to obtain insurance covering medical treatment in Japan, rescue expenses, personal liability, and trip cancellation.

Any insurance maintained by the School may not cover every accident, loss, damage, or expense.

Article 13: Disclosure of Health Conditions

Participants must inform the School, either when making the reservation or before the lesson begins, if any of the following apply:

  • An illness or injury currently receiving medical treatment
  • A pre-existing medical condition
  • An allergy
  • Pregnancy
  • A disability
  • The use of prescription or other medication
  • Any other condition that may affect the participant’s ability to participate safely

The School may refuse participation or discontinue a lesson if it determines that the lesson cannot be conducted safely.

A refund may not be provided if the lesson cannot be conducted because the participant failed to disclose important health information.

Article 14: Prohibited Conduct

The School may refuse participation or immediately discontinue a lesson if a participant engages in any of the following:

  • Participating while under the influence of alcohol or drugs
  • Failing to follow the instructor’s safety instructions
  • Engaging in conduct that may endanger other participants or third parties
  • Using abusive language, violence, threats, or harassment
  • Violating ski resort rules or applicable laws
  • Using equipment that presents a safety risk
  • Interfering with the operation of the School

If a lesson is discontinued because of the customer’s conduct, no refund will generally be provided.

Article 15: Minors

Participants under 18 years of age must obtain the consent of a parent or legal guardian before participating.

The person making the reservation must provide accurate information about the minor’s age, ability level, health condition, and any other relevant matters.

Depending on the participant’s age or circumstances, a parent or guardian may be required to remain near the lesson location.

Article 16: Equipment and Personal Belongings

Participants are responsible for appropriately managing their own equipment, rented equipment, valuables, and personal belongings.

The School will not be responsible for theft, loss, or damage unless it results from circumstances attributable to the School.

Any loss of or damage to rented equipment will be handled in accordance with the terms and conditions of the relevant rental provider.

Article 17: Third-Party Services

When equipment rental, transportation, accommodation, lift tickets, or other services are provided by third-party businesses, the terms and conditions of the relevant service provider will apply.

Even when the School introduces or assists in arranging a third-party service, the School does not guarantee that service unless the service is provided directly by the School.

Article 18: Photographs and Videos

The School may take photographs or videos during lessons for instructional purposes, safety checks, and service records.

Before using identifiable photographs or videos of customers on its website, social media, advertisements, or other promotional materials, the School will obtain the prior consent of the customer or their parent or legal guardian.

Customers who do not wish to be photographed or recorded must inform the School before the lesson begins.

Article 19: Personal Information

The School handles customers’ personal information in accordance with its separately published Privacy Policy.

Article 20: Amendments to These Terms

The School may amend these Terms of Service when necessary due to changes in applicable laws, services, operating procedures, or other relevant circumstances.

Amended Terms of Service will take effect when published on the School’s website.

However, unless otherwise required by law or separately agreed, reservations that have already been confirmed will generally remain subject to the version of the Terms of Service in effect when the reservation was confirmed.

Article 21: Governing Law and Jurisdiction

These Terms of Service and the School’s services are governed by the laws of Japan.

Any dispute between the School and a customer will be submitted to a court in Japan having jurisdiction under applicable law.
